Signing up and activating your Zoom account

Creating your own account

To sign up for your own free account, visit zoom.us/signup and make sure to use your @burkeschool.org email address. You will receive an email from Zoom (no-reply@zoom.us). In this email, click Activate Account. 

Signing in to your Zoom account on the web

You can login to your Zoom account on the web at any time, at zoom.us/signin. Once you're logged in, use the panel on the left side to navigate the Zoom web portal.  You can update your profile, schedule a meeting, edit your settings, and more. 

Updating your profile

You can update your profile by adding a profile picture, set your time zone, update your password and more. To access your Zoom profile, sign in to the Zoom web portal and click Profile. 

Downloading the Zoom client

Burke will make sure the app is on your iPad. You may also find it useful to download the Zoom Mobile App on your phone; iOS and Android

Starting a test meeting

You can join a test Zoom meeting to familiarize yourself with the Zoom and test your microphone/speakers before joining a Zoom meeting. Visit zoom.us/test and click Join. 

Starting your meeting as the host

As the meeting host, there are several ways you can start your meeting. Your upcoming meetings will be listed in the Meetings tab of your Zoom desktop client or mobile app. You can click Start by the meeting name.

Inviting others to join your meeting

Google Calendar : Add video Conferencing

Inviting others to join your meeting is as simple as sharing the invitation or join link. The easiest way to do this is via the Zoom option that has been added to Google Calendar. When you create an event, you now have the option to choose a Zoom Meeting from the Add video conferencing option.

Google Chrome Extension : Zoom Scheduler

Screen_Shot_2020-08-06_at_3.52.36_PM.pngAnother option is to use the Google Chrome extension called Zoom Scheduler.  Using this Google Chrome extension will provide additional options that you can set for your meetings. 

Defaults: You should use the gear icon in the extension menu to access the settings. You can set all the defaults you wish here. This can be changed on a per-event basis. Scroll to the bottom and make sure you check the “Allow me to specify schedule options each time.” This will bring up the options panel when you create new events.

New Event: Use the “Schedule a Meeting” button from the Zoom Scheduler menu to create a new event. You will be presented with the default options and you can make edits for the event as needed.

The extension creates a “Join Zoom Meeting” button with information about the Zoom meeting. This is separate from the standard “Add video conferencing” option. Also note that although Zoom does not have a 40 minute time limit for educational users during Covid-19, the standard notice does show; this can be ignored.

Security Setting within a Meeting

The Security icon in the meeting controls allows the host or co-host of a meeting to enable or disable options during a meeting to secure the meeting and minimize disruption during the meeting. Most of the settings can be controlled from Account, Group, and User settings prior to the meeting. If applied at the Account, Group, or User level, these settings will be applied in meeting by default. The Security icon combines them all in one place for easy access during the meeting. 

Available security settings are:

  • Lock Meeting: Locks the meeting, keeping new participants from joining the meeting.
  • Enable Waiting Room: Enables Waiting Room for incoming new participants or to move current participants into the Waiting Room. This is an added layer of security. It does require you to admit all your participants. It may not be practical if you are hosting a very large meeting.
  • Allow participants to:
    • Share Screen: Allows participants to start Screen Shares 
    • Chat: Allows participants to use the chat function.
    • Rename Themselves: Allows participants to rename themselves from the Participants panel.
    • Unmute Themselves: Allows participants to unmute themselves without the host's permission. 
    • Annotate on Shared Content: Allows participants to annotate over content shared during the meeting. The host can enable or disable annotation when the host is sharing. 
  • Remove Participant: Allows the removal of a participant from a meeting. The participant can not re-join unless Allow removed participants to rejoin is enabled in Meeting settings.
  • Report: Allows you to report a user to Zoom's Trust and Safety team. You will be able to select which user to report and provide details about the problem. You can also upload evidence, such as screenshots.
