Create Email Group in Google Contacts

You can make your own email groups in Google Contacts that will only be available for you to use. You can use this group to email a class roster or your advisees. You can also share files with this group or invite the entire group to a calendar event or Google Meet.

  1. From Drive or from Mail, click on the Google Apps icon in the upper right and choose Contacts.Screen_Shot_2020-04-09_at_2.04.34_PM.jpg
  2. Once in Contacts, scroll down on the left to Labels and you may need to expand it (click on the ^ next to Labels) and choose + Create Label. Name the new group and save it.
  3. You now have two options:

 

A) Add every member of a group or class at once; add multiple contacts:

  • Go to SIS to copy all of the student email addresses.  Go to SIS > Your class or group > Roster > "Send communication to" > Students and copy the addresses
  • In Google Contacts, click "Create Contact" and then "Create multiple contacts"
  • In the box that appears, choose the proper label from the top, paste in your SIS contact list and then click Create.

  • You can also type in users and add multiple users at the same time; e.g. type in the addresses of colleagues. Unfortunately, there is no auto-complete here, so you have to type in the complete, correct address.

B) Or add users one by one:

  • Use the Search bar at the top to start finding users, one-by-one that you want to add to your group. All Burke students, faculty, and staff can be found this way. You can also add outside email addresses if they are already in your Contacts.
  • Select someone you want to add to your group and a window will pop up with more details on the contact.
  • Click the three dots (more actions) in the upper right. Then select the label you want to add this person to and a check mark will appear next to the label.   Then click the X in the upper right to close the window for this person.Screen_Shot_2020-04-09_at_2.10.00_PM.jpg
  • Repeat for anyone else you want to add to the group.
  • It may take a little while before you can use the label in Gmail, Drive, Calendar, but it should be there within 24 hrs.  

To use this new email list, simply type the name of the label you created in the To, CC, or BCC fields of any email!
