Set up the School Year
Make sure that the following year is set up in SIS > Core > Settings > School Information > Years & Terms.
The following year should be set as the Admissions year and should be set to Publish.
Create Contracts for the Upcoming Year
To create contracts for the upcoming year, copy the ones from last year and modify them.
- Enrollment Management > Enrollment > Contracts > Manage Contract Forms (adjust the filters on the right if necessary so the contracts for the next enrollment year show up)
- Copy
- Modify
- Set the previous year's contracts to Inactive. Don't archive them until you are sure you don't need them as a reference.
Assign Contracts to Students
Assign contracts in bulk to all returning students. Then go back and modify individual students one-by-one.
- Enrollment Management > Enrollment > Contracts > Assign Contract Types
- Adjust the filters so that the students you want to show up are on the list
- Click Filter
- Access > Role = Student (only)
- Candidate/Student > Current Grade = 6,7,8,9,10,11
- General > School Year = next year (the year you want them to enroll for)
- Change the Items per page from 50 to 250 (that should make it so all the returning students show up on a single list)
- Select All
- Press the Assign Contract Types button in the lower left
- Select the School Year and the Returning Student for the contract type
Edit Individual Contracts - Financial Aid, Holds, Assign a Contract, Print a Contract ,etc.
- Use the People Finder to find the student.
- Click on the Contracts Tab
- Delete the contract with the Trash icon
- Use the Pencil icon to edit the contract
- Add Financial Aid Awards
- Put the contract On Hold
- Mark as Not Returning
- Save
- Click Add New to assign a different contract to this one individual student
- Once you make changes, you need to Regenerate the contract for the changes to be published to the student
Generate or Regenerate Contracts
You use the same process to generate or to regenerate contracts after you've made changes to individual students or assigned more students to a particular contract:
- Enrollment Management > Enrollment > Contracts > Manage Contract Forms (adjust the filters on the right if necessary so the contracts for the next enrollment year show up)
- Click Edit for the contract you wish to generate.
- In the lower right, click Generate Contracts.
- Navigate to make sure you are generating for the right students.
- Don't worry about students who already have a contract in process. It won't overwrite anything.
Process Contracts
- Enrollment Management > Enrollment > Contracts > Process Contracts
- You can Accept each one
- You can Print each one
