Backup and Transfer your data when you leave Burke

As you move on from the Edmund Burke School, you should prepare any data you want to take with you or gift to your successor.


1. Get an external hard drive

You can find these at any electronics store or websites like Amazon and NewEgg. We recommend getting an external from a dependable brand like Western Digital, Seagate, or LaCie; the money you save on a cheap drive will be small comfort during a catastrophic data loss.

Drives come in many sizes, but if you are looking to make serious staged backups, we recommend getting a drive with at least 2 terabytes (TB) of storage.
 
You have many options for the format of the drive when you initially set it up; "ExFat" is the most flexible. The Windows default of NTFS and Mac default of HFS+ are not intercompatible.


2. Copy your Mac data off the computer

Plug the hard drive in to your work laptop. Click the Finder icon in the Dock to begin.

You should see the new drive appear as an icon on the desktop. If you don't see it, go to the Finder menu > Preferences > General and enable "External Disks." You should also be able to see it in the sidebar of Finder windows.

Now go to the Go menu > Home. Drag any folders containing data (likely Desktop, Documents, Music, Movies, Pictures)


3. Google Takeout

Google has a feature called Takeout that allows you to download all of your Google data, including contacts, Drive documents, YouTube videos, and more. Go here:

Log in to your Burke account and click "Create an archive." You can then decide which Google services you want to download (for example, you can just get your YouTube uploads, or exclude your address book).


4. Transfer your Google stuff to your successor

If you want to transfer every document in your Drive, we do this for you from Google administrative tools.

If you want to transfer only certain files:

Log in to your Google Drive, and check the box next to each document that you own and want to transfer to another user. If you aren't the owner of a document (that is, if you are a editor or viewer) you cannot change its ownership settings.

Now click the Sharing button (the icon of a person with a + symbol) and add the name of the new owner. Click the sharing setting next to their name, and change it from "Can View" to "Is Owner." When you click save, all of the documents you selected will be transferred to the new person, though you will remain as an editor. After this point, you will lose the ability to administer the documents — you can't delete them, for example.


5. Download SIS materials

If you need to get data off SIS that does not exist on your computer otherwise, ask the Tech Department for help, and we will personally walk you through saving data from SIS.


6. Set an autoreply on your email

As long as your email is active, people may try to reach you. Set an appropriate automatic reply so they are directed to the correct employee.

Log in to your Gmail account and click the gear at the top right, then Settings. Scroll down to "Vacation Responder," set it to "on," and add an appropriate subject and message, such as:

"Subject: I no longer work at Burke

Body: Bilbo Threepwood no longer works at the Edmund Burke School. To contact the new chair of the ice cream committee, please address your messages to fprefect@burkeschool.org."


7. Give your stuff back

When you are done backing up your data and preparing materials for your successor, you should return everything you have on this list to the Tech Department:
  • Laptop
  • Laptop charger (with extension cord)
  • Video adapter
  • Laptop cart key
  • iPad cart key
 

8. What happens to my accounts? How long should I keep my equipment?

You should keep working with your school equipment and accounts through the end of report card writing and any preparations you have to make for the handoff to your successor. If you are going to continue working with Burke through the summer, you should keep your laptop until the work is done.

We keep faculty accounts active as long as feasible in case of unanticipated contingencies. We do not make guarantees about leaving your passwords intact or that you will be able to continue logging in after you leave.
